General Land Rules, Procedures, and Notes for Individuals, Groups, and Royal (Kingdom) Encampments

Individuals

• Every person who preregisters for Pennsic with a paid preregistration will have 250 square feet assigned to their designated group. If no group is designated by the close of the preregistration period, the registration shall be moved to "Individual Camping" and while the space will be reserved, the registrant will need to select their space from the available Single Camping areas once they are opened to Single campers after Land Grab is completed. Persons pay their registration upon arrival will be allocated 250 square feet in one of the available Single Camping areas.
• If you will not be camping with a group, please see "Information for Single Campers."
• All those who wish to camp in the designated Handicapped Camping area must register with Cooper's Lake Campground by the preregistration deadline. Select the land group "DISABILITIES CAMPING," once you have received permission to camp from the Disabilities Camping Coordinator. To receive permission to camp in Disabilities Camping, you must communicate with the Disabilities Camping Coordinator at email address disability@pennsicwar.org by the Disability Services Registration deadline.
• Those who are considering use of an RV must contact the Cooper's Lake Campground directly before preregistering as the Land Office does not coordinate RV camping. (When pre-registering, please select the Land Group "RV CAMPING.") Please note that an RV, in this case is defined as a registered motor vehicle.
• It is expected that campers will camp in the location where they are preregistered, if this is not possible the camper must inform Troll and the Watch so that the new location is accurately recorded for emergency purposes.
• Preregistered group campers will not be allowed to use space in single camper areas. They must camp within the boundaries of their registered group.

Information for Single Campers

• Single campers are those individuals or families who are did not pre-register with a registered group. People who arrive together may camp together.
• No space can/shall be held by anyone for Individual Campers (preregistered) or Single Campers. These spaces are first come, first served.
• Single campers may camp in areas designated as single camper space. These are the unoccupied areas remaining in certain blocks after the preregistered groups have established their borders.
• Single campers should not arrive before Sunday of Land Grab weekend.
• Individual Campers who wish to arrive on Friday or Saturday of Land Grab weekend must have preregistered with the campground, and must fill out a Group Registration form, using their SCA name as the "Group" name. They will participate in the Land Grab process with the other Land Agents and should continue reading through the information for Land Agents as well as the guidance available in A Handbook for Pennsic Land Agents.
• There will be maps at Troll and Information Point, indicating where the Single Camping areas are located. After all registered encampments have finalized their maps.
• Everyone who pays a registration fee is allocated 250 square feet, but may choose to accept less.
• Single Camping areas should be populated from the perimeter (as permitted by geography and environmental conditions), moving toward the center. If you are the first to arrive in a single camping area, please set up your camp around the perimeter of the space, leaving room for others to fill in. If there are multiple tents to be set up for a small group of single campers wishing to camp together, those tents should be placed contiguously within the square footage allocated by the number of paid registrations. (Number of campers x 250 sq ft.) If these guidelines are not followed, Land Staff reserves the right to require you to move your tent, in order to make the best use of the space.
• It is expected that campers will camp in the location where they are registered, if this is not possible the camper must inform Troll and the Watch so that the new location is accurately recorded for emergency purposes.

Groups / Land Agents

• Groups must decide on ONE group name. (Please note that "Brotherhood of the Blade" and "Blade Brotherhood" would be regarded as two different group names.)
• Each group must have a Land Agent. Please see A Handbook for Pennsic Land Agents for information on being a Land Agent.
• Land Agents must have an email account and Internet access. Email assures that all Land Agents on an assigned block can contact each other easily.
• Land Agent contact information will not be posted to any public forum, but will be given to the other Land Agents in their assigned block and to members of the Pennsic staff if needed.
• All Land Agents will be expected and required to negotiate in good faith with the other Land Agents on their assigned block, via email/the internet, prior to arrival at Pennsic.
• Should a block reach maximum capacity, groups will have the option to "voluntarily reduce the size" of their land allotment in an effort to not be moved from their traditional land blocks. There is no guarantee that this reduction will put you in the block you want, but every effort will be taken to do this.
• All groups must have a Land Agent or On Site Rep in residence for the entire Pennsic event to:
  1. Negotiate for Land
  2. Rope off the entire encampment perimeter
  3. Be available to discuss issues, situations, and other land-related issues with the Land Staff.
  4. Land that is not roped off or is unattended will be considered abandoned. No "ghost camps" will be allowed. In the case of an emergency that would leave the camp unattended, contact the Land Office.
  5. As always, the final placement of any and all land groups is at the sole discretion of the Land Office.

Royal (Kingdom) Encampments

• In an effort to standardize, it is heavily suggested that all Royal Encampment Land Agents register their group as "Kingdom of ______" (e.g.: Kingdom of the East, Kingdom of Atlantia, etc.) This makes it easier to find them on an alphabetized list.
• People who will be camping in a Royal Encampment must use the official registered group name on their Individual preregistration forms, under "Land Group ."
• Kingdoms may also register a populace/subject group in addition to the official Kingdom encampment. These encampments are listed as "Populace of _________" (e.g.: Populace of Calontir). As a courtesy, to other Kingdoms and campers alike, it is required that Royal encampments populate at least 20% of their allocated Kingdom encampment with paid registrations before overflowing into a separate Populace Camp.
• Royal Land Agents can email the Royalty Liaison for help.

Rules regarding Towable Campers, Trailers, Vardos, etc.

• An RV is a registered recreational motor vehicle and must be in RV camping (if used) or oversized parking (if no one is living in it). A Towable Camper, Trailer, or Specially constructed trailer (a "Vardo") is permitted within the borders of a registered group.
• Any Towable Camper, Trailer, or Vardo that is parked within the borders of a registered group is to be period in appearance. If not, it needs to be concealed from view in a manner that is approved by the Land Office. Email dmland@pennsicwar.org for discussions or questions preceding Pennsic.
• No Towable Camper, Trailer, or Vardo may be connected to the campsite power outlets. Anyone in violation of this rule may be required to pay the additional RV registration fee and move to the RV camping area (space is not guaranteed without preregistration), or be removed from site.
• Size limitations for trailers towed on roadways in Pennsylvania: Maximum of 8' wide, 14' tall (from the ground), and 20' long. If you plan to store trailers on site please note the Coopers have different and additional requirements/restrictions. If you are uncertain about your trailer's appearance, please contact the Land Office. If you are uncertain about your trailer's suitability for storage on Cooper's site, please contact the Coopers Lake Staff.

SANCTIONS:

The Land Office may levy sanctions against groups who do not comply with the written rules or who are unwilling to work with Pennsic Staff to resolve issues that occur during the event. Sanctions may be levied immediately, at future Pennsics, or both. Past sanctions on groups have included loss of block seniority, loss of block choices, and land forfeiture. Working with Pennsic Staff to resolve issues on site is in your best interest to avoid these or other more devious sanctions that the Land Staff will come up with.
